POSITION SUMMARY:
The Administrative Assistant will provide
a wide range of administrative and office management support for the
Nursing and Health Careers Department (NHCD). The successful candidate
will need to be a highly organized, seasoned administrative professional
capable of coordinating the multiple activities of the Department. The
individual will organize mentoring, tutoring, and academic advising
services to the students of CMN to assure successful completion of their
program. This is a two year grant funded position.
ESSENTIAL FUNCTIONS:
- Serve as NHCD
liaison with other departments and external constituencies for
day-to-day operations;
- Create, compose,
and edit technical and/or administrative correspondence and
documentation, as appropriate including grants and sponsored programs;
- Manage NHCD
records, tracked student records, reporting documents, and
correspondence in electronic and/or hard copy;
- Record, transcribe,
and organize committee minutes and related documents, as appropriate;
- Prepare and
coordinate the calendars, schedules, and travel itineraries of the NHCD;
- Prepare day-to-day
office management documents such as purchase orders, check requests,
travel advances and vouchers, etc;
- Monitor DOL budget
and update Dean on status of funds;
- Plan and coordinate
meetings and events, as appropriate;
- Provide
administrative support for a variety of public information
documents, including but not limited to documents such as the
Nursing Student Handbook, Course Schedule, advertisements, and
posters;
- Provide general
office management for the NHCD;
- Maintain
confidentiality;
- Meet with Science, Math, & Nursing
faculty to determine content of tutor material;
- Attend classes periodically to
monitor progress and determine needs;
- Provide academic advisement services to enrolled and
potential NCHD students;

Advise students regarding policies for Health Care
Professionals(certification, licensure);

Advise students and refer to appropriate social agencies
as necessary;

Promote Health Care Careers, give presentations in K-12
settings;
- Perform other
duties as assigned.
QUALIFICATIONS:
- Bachelor’s degree preferred with specific strengths in the science area;
- Be highly organized with sound administrative skills and the ability to multi-task
- Be detail-oriented and flexible enough to accommodate the dynamic activities of the Department
- Experience with Word, Access, Excel, Publisher, and PowerPoint preferred.
- Demonstrate advisory and communication skills,
- Have the ability to facilitate transitions and counsel students toward the realization of their full educational potential;
- Have the ability to recognize, appreciate, and serve cultural differences and the special need of students and faculty;
- Demonstrate advocacy and leadership in advancing the concerns of students;
- Demonstrate appropriate ethical behavior and professional conduct in the fulfillment of roles and responsibilities;
- Experience with federal grants and contracts is preferred, but not required.
